Introduction
Executive Aviation (referred herein as “us”, “we” or “our”) is committed to protecting the personal data that we hold. This privacy statement describes why and how we collect and use personal data and provides information about individuals’ rights. We use personal data provided to us for the purposes described in this privacy policy or as clarified before collecting personal data.
Personal data is information relating to a person who is identified or identifiable. Our policy is to be transparent regarding why and how we process personal data.
We process personal data for several purposes and the means of collection, lawful basis of its use, disclosure and storage periods for each purpose are set out in this privacy policy.
We use personal data that is provided either directly from the individual concerned, from a third party acting on behalf of an individual, or from publicly available .
When we receive personal data regarding an individual from a third party, we request that this third party informs the individual of the necessary information regarding the use of their data.
Data Security
We take the security of the data we hold seriously. Unfortunately, the transmission of information via the internet is not fully secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our website or systems, therefore any transmission is therefore at your own risk. Once we have received your information, we endevour to prevent unauthorised access. We currently use, and will continue to use a security VPN product with a global-level reputation for prevention of unauthorised access to data.
Data that we hold
General
We provide services to individuals as well as organisations. The exact data held will depend on the services to be provided.
Where we engage with individuals, we may collect and process personal data in order to establish and/or satisfy contractual or operational obligations. We request that individuals only provide the personal data that is required for us to fulfil our contractual or operational obligations.
Why we process data
Where data is collected & stored, this is for purposes:
- To provide our core services, data is processed to either place applicants into a job vacancy, or to advertise a vacancy for a client.
- State regulations: In order for Executive Aviation (Malaysia s.b.) to operate legally we may be required to collect and process personal data in order to fulfil regulatory, legal or other requirements
- When communicating with and assessing the needs of a candidate or client, personal data may be processed to ensure that their needs are appropriately fulfilled.
- In order to manage and grow our business, we may collect and process personal data. This can include maintaining internal records, managing candidate and client relationships, hosting recruitment assessment events and administering candidate / client facing applications/matchings.
What data is processed?
The data that is processed is dependent on the service that is being provided and on the recipient of this service.
- Services to candidates. Personal data may include (but is not limited to), name, email address, date of birth, country of birth, nationality, phone number, gender, passport/ national identity document details, job title, employment dates, career history, qualifications, reference information, credit rating information, criminal record details, and any other specifically relevant data.
- Services to clients: Personal data may include (but is not limited to) name, corporate contact details, job title any other data relevant to the job position(s) and the person responsible for those job positions.
How long do we hold data for?
The general principle is that we retain the personal data processed by us for as long as is considered necessary for the purpose(s) for which it was collected. Where personal data is held with a view to matching applicants with job vacancies, we will hold that data for up to5 years after the most recent communication with the applicant or 5 years following the termination of the most recent placement, whichever is chronologically later.
Why do we process data?
Where we act as the data processor and process personal data on behalf of our Clients, this is done for the following purposes;
- To fulfil contractual obligations towards our clients.
- To facilitate our Clients to perform security and risk management activities.
- To enable prospective clients to evaluate our services generally and some Candidates specifically.
